When and how to use this letter
Request the incomplete before the term ends, not after grades are posted. Once a final grade is submitted, converting it to an incomplete is far more difficult and sometimes impossible. Talk to your professor as soon as you realize you cannot finish on time.
Incompletes are for students who were doing well before the emergency. If you were already failing, professors will usually decline, since extra time will not fix the underlying problem. Be honest with yourself about whether an extension will actually change the outcome.
Propose a specific completion date and stick to it. Vague promises to finish soon make professors nervous; a concrete date with a work plan shows you are in control. Most institutions set a maximum window, often one semester, after which the incomplete automatically becomes a failing grade.
Get the agreement in writing using your institution's official incomplete-grade form. It should list exactly what work remains and the deadline. Keep a copy, finish the work early if you can, and confirm with the professor that your final grade has been submitted. Unresolved incompletes have a way of turning into Fs silently.
Do not treat the extension as an extra semester. The work will compete with your new courses for time and attention, so block specific weekly hours for it in your calendar now. Students who schedule the catch-up work finish it; students who assume they will find time usually do not.
