When and how to use this letter
An employer NOC for a visa is one of the most standard HR letters in existence — most HR departments issue them routinely, so do not be nervous about asking. What matters is giving HR the exact wording the embassy expects: your full name and designation, confirmation that you are employed, your approved leave dates, the destination country, and the purpose of travel. Embassies also expect the letter on company letterhead with an authorised signature and contact details.
Request the NOC as soon as your travel dates are fixed, and tell HR your visa appointment date. HR triages by urgency, and a stated appointment date gets your letter prioritised over routine requests. Confirm your leave is formally approved first — HR will not issue an NOC for dates your manager has not signed off.
The non-obvious tip: ask HR for two original copies. Embassies occasionally keep the original, and having a spare saves you if the first is retained or if you need it at immigration. Also verify that the name on the NOC matches your passport exactly, including spelling — a mismatch is a common and entirely avoidable cause of visa delays.
Keep the tone routine in your request. You are asking for standard documentation, not a favour, and framing it that way makes HR process it as standard documentation. If your company has an HR portal, check whether NOC requests can be raised there for a faster turnaround.
