When and how to use this letter

A warranty is a contract, so treat the dispute like one. Dig out the warranty card or terms document and read the coverage section yourself, highlighting the clause that covers your fault. Companies count on customers never reading the fine print; when you quote their own clause back at them with the section number, the conversation changes immediately.

Get the denial in writing. Service centres prefer to refuse verbally, saying the damage is physical or the fault is excluded, because verbal refusals leave no trail. Insist on a written job sheet stating the fault found and the reason warranty service is denied, with the specific clause cited. A vague verbal no becomes much harder to defend once you ask for it on paper.

Send this letter to the brand's customer care head and the service centre together, quoting the warranty clause, the serial number, and the purchase date. Demand the promised warranty service within ten days, and state that you will treat a continued refusal as a deficiency in service.

The point most buyers miss: warranty terms do not override consumer protection law. Even where a warranty excludes something, a product that fails unreasonably early can still be a defective product under consumer law, entitling you to a replacement or refund. Mentioning this in your letter signals that you know the warranty is not the company's last word on the matter.

Frequently asked questions

The company says the fault is not covered. Are they always right?
No. Manufacturers sometimes misapply their own terms, excluding faults that are plainly covered. Get the denial in writing with the exact clause cited, then compare it with the warranty document yourself.
Can I demand a replacement instead of another repair?
For a defect that appeared early and was never properly fixed, a replacement or refund is reasonable. You are not obliged to accept endless repairs under a warranty that the company itself is not honouring.
What if the company ignores my letter completely?
Yes, through the consumer commission. Warranty disputes with written denials are among the most straightforward consumer cases, because the warranty document itself sets the standard the company failed to meet.
