When and how to use this letter
Do tenant verification before handing over the keys, not after. Submit this letter with a photocopy of the tenant's CNIC, two passport-size photographs, and a copy of the rent agreement. The station will run the tenant's details against criminal records and issue a verification report or stamped receipt.
Keep the stamped receipt permanently with your rent agreement. If the tenant is ever involved in illegal activity at your property, this receipt is your proof that you verified them as a responsible landlord. Without it, you can face uncomfortable police questioning and, in some jurisdictions, legal action.
Verify every adult who will live in the property, not just the person signing the agreement. Spouses, working children, and long-term guests should all be covered. When a new tenant replaces an old one, file a fresh verification rather than relying on the previous report.
A non-obvious tip: many cities now have online tenant registration portals where you can upload the tenant's details from home and receive a tracking number. The online route is usually faster, and the digital record is easier to retrieve years later than a paper receipt filed in a drawer.
If verification reveals a criminal record, you are not legally bound to reject the tenant, but you should weigh the risk carefully and consider additional safeguards such as a larger security deposit or a shorter initial agreement term. Whatever you decide, document it.
