When and how to use this letter
Room rentals are usually informal, which is exactly why a short written agreement helps. Most disputes are about small things, who cleans the kitchen, whether a friend can stay the weekend, who pays the Wi-Fi bill, and writing the answers down keeps the household peaceful. Keep this agreement to one or two pages so both sides actually read it.
Be specific in the shared-facilities field rather than writing common areas, because arguments start over things like the fridge shelf, the washing machine schedule, or the parking spot. If utilities are split, state the exact split and how bills are shared, for example the electricity bill is divided equally and shown to all tenants by the 7th of each month.
A non-obvious tip: agree on a guest policy in detail, not just permission required. Decide how many nights per week a guest may stay and at what point a long-staying guest becomes an extra tenant who should contribute to bills. Landlords, also note the tenant's ID details in the agreement, since police verification norms apply to room tenants in many cities just as they do to full-house tenants.
Finally, decide how you will handle a situation where one person wants to leave and the other wants to stay. Agree now that the remaining tenant gets the first say on the replacement and a reasonable two-week window to find someone, during which the departing tenant still covers their share. Writing this down prevents the classic standoff where one roommate moves out overnight and leaves the other paying double rent.
